ACE has the following Refund Policy.
A. An online service request form is used for students to submit their refund requests.
B. The requests will be automatically inserted into the tracking list in the Institute Management System for staff to monitor and follow up.
C. The refund process shall take not more than seven (7) working days from the date of request for those eligible refund cases.
D. Should a refund process exceed the stipulated seven (7) working days. A note with the supporting evidence(s) explaining the details attributing to the delay is to be attached to the refund document compiled. If the cause(s) is/are due to an operational lapse, a corrective action plan will be issued for correction and enhancement.
E. Examples of delays not attributed to the lapse:
– Student slow/late in providing/responding to provide necessary information / document to process the refund (such as missing bank account); and/or
– Student slow / late in providing/responding to provide the clarification to be reviewed and/or approved for the refund.
F. The Head of Operations is responsible to maintain up-to-date and accurate refund records in the Institute Management System and the email communications (if any) are stored in the relevant staff’s Outlook.
Note: If any, the relevant hardcopy/printed request service form(s) and hardcopy supporting documents, and refund financial records are archived in the refund records.
G. Withdrawal Due to Non-Delivery of Course
• 1. ACE shall notify the student in writing within three (3) working days after becoming aware of any of the following (each a “Refund Event”):
(a) It cannot commence the provision of the Course on the Course Commencement Date.
(b) It cannot complete the provision of the Course by the Course Completion Date.
(c) The Course will be terminated before the Course Completion Date.
(d) The student does not meet the course entry or matriculation requirements as stated in Schedule A; or
(e) The Immigration & Checkpoints Authority of Singapore (the “ICA”) rejects the student’s application for the Student Pass.
• 2. Where any of the Refund Events in the above Clause (a) to (c) above has occurred:
(f) ACE shall use reasonable efforts to make alternative study arrangements for the student and shall propose such alternative study arrangements in writing to the Contracting Party, within ten (10) working days of informing the Contracting Party of the Refund Event.
(g) If the Contracting Party accepts such alternative study arrangements, ACE shall set forth such alternative study arrangements in a written contract and this Contract shall automatically terminate on the date that such new written contract comes into effect.
(h) If ACE does not propose alternative study arrangements to the Contracting Party within the time stipulated in the Clause (f), or the Contracting Party does not accept such alternative study arrangements, the Contracting Party may forthwith terminate this Contract by way of a written notice to ACE.
• 3. Where any of the Refund Events in the above Clauses (d) to (e) have occurred, ACE shall forthwith terminate this Contract by way of a written notice to the Contracting Party.
• 4. If the Contract is terminated pursuant to the Clause (g) read with Clause (a), ACE shall refund all Course Fees and Miscellaneous Fees paid by the Contracting Party within seven (7) working days of the termination.
• 5. If the Contract is terminated pursuant to Clause (g) read with either Clause (b) or Clause (c), ACE shall refund the Course Fees and Miscellaneous Fees in proportion to the uncompleted portion or duration of the Course, whichever is higher, to the Contracting Party within seven (7) working days of the termination.
• 6. If the Contract is terminated pursuant to Clause 3 or Clause (h) read with Clause (a), ACE shall refund all Course Fees and Miscellaneous Fees paid by the Contracting Party within seven (7) working days of the termination.
• 7. If the Contract is terminated pursuant to Clause (h) read with either Clause (b) or Clause (c), ACE shall refund the Course Fees and Miscellaneous Fees in proportion to the uncompleted portion or duration of the Course, whichever is higher, to the Contracting Party within seven (7) working days of the termination.
H. Withdrawal Due to Other Reasons
• If the Student withdraws from the Course for any reason other than those stated in the above clauses for non-delivery of course.
• ACE shall within seven (7) working days of receiving the student’s written notice of withdrawal, refund to the student an amount based on the refund table stated in the ACE Student Contract Schedule D.
I. Cooling-off Period
• ACE provides all student with a cooling-off period of TEN (10) calendar days after the date that the Student Contract is signed by both parties.
• Refund for Withdrawal During the Cooling-Off Period:
Notwithstanding anything herein contained, the Contracting Party shall be entitled to, without any liability whatsoever to ACE, forthwith terminate the Contract at any time within the Cooling-Off Period by way of a written notice to ACE. ACE shall return all Course Fees and Miscellaneous Fees paid to it within seven (7) working days of the receipt of the written notice.
• Refund for Withdrawal Outside the Cooling-Off Period:
Without prejudice to Clauses above, the Contracting Party may terminate the Contract at any time before the Course Completion Date by providing a written notice to ACE. Upon receipt of such notice, ACE shall within seven (7) working days, refund to the Contracting Party such amount (if any) as determined in accordance with the Schedule D in the Student Contract.
J. Non-refundable Fees
• All course fees are strictly non-refundable / transferable once the course had commenced.
• The following are non-refundable fee collected as part of the admission process.
a. The application fees and Banker’s Guarantee costs (if applicable) are not refundable.
b. All miscellaneous fee(s) paid and consumed by the student are non-refundable.
Note: Miscellaneous services paid by students but not used by the student will still be considered as services consumed by the student.
K. Communication of Refund Policy and Procedure
• ACE shall ensure that the Refund Policy and Procedure are communicated to the prospective students and the existing students by:
a. Publishing on the ACE’s website.
b. Displaying on the ACE’s notice board(s).
c. Listing in the Student Handbook.
d. During the pre-course counselling session.
e. During the new student orientation session.
f. Being listed in the Student Contract
