Attendance Policy

This policy outlines expectations and procedures for monitoring and managing student attendance.

The Student Attendance Policy promotes accountability, academic success, and compliance with regulatory standards.

This policy is communicated during orientation and is available via the ACE website and student handbook.

Attendance Expectations:
– Students are expected to attend 100% of scheduled classes, unless valid reasons are provided.
– Student Pass holders must maintain ≥90% monthly attendance.
– All students must achieve ≥75% attendance to qualify for final exams.

Regulatory Compliance:
– The Head of Operations or designated staff must notify ICA if a Student Pass holder is absent for >7 consecutive days or fails to meet monthly minimum 90% attendance requirements.
– The Student Pass may be cancelled for prolonged or unexplained absences.

Monitoring and Recordkeeping:
– Attendance is tracked via the Institute Management System (IMS) and subject to audit.
– All absences must be supported by a valid medical certificate from a certified clinic.
– TCM clinics without certification are not accepted.

Leave Requests:
– Students are generally not allowed to take leave during study periods.
– For valid reasons, students must submit a formal request with supporting documents for short-term leave or deferment.

Communication and Intervention:
– Poor attendance is managed by Operations Staff, who send reminders via WhatsApp or email.

Intervention steps include:
– Attendance Warning Protocol:
– 1st Warning: Absent for 1 lesson without valid reason
– 2nd Warning: Absent for 2 lessons without valid reason
– 3rd Warning: Absent for 3 lessons without valid reason
– Debarment from Final Exam: Attendance <75% without valid reason
Exception: If the student is deemed academically competent, the Head of Academic may grant exam eligibility by signing next to the student’s name on the attendance list.

Disciplinary Measures for Attendance Breach:
– ACE may take disciplinary actions against students who fail to meet attendance requirements, aligned with the above warning protocol.
